Cultivating Productivity in Our Teens

career fairLast week we talked about senioritis, and how giving in to the temptation to slack off near the end of the school year can come back to bite us. That’s why it’s so important that we as parents and teachers do our best to cultivate productivity in our teens.

Over the years, I’ve noticed an interesting trend in my chance encounters with people. It goes something like this:
Me: “It’s great to see you! How’ve you been?”

Them: “Busy!” Or,

Them: “Crazy busy!” Or,

Them: “Out of control!” Or,

Them: “Overwhelmed!”

Is this good?

No, it’s not. We’re experiencing a crisis of over-commitment and information overload like never before. It’s not supposed to be this way. After all, technology is supposed to make us more efficient, isn’t it?  Not more stressed! At the risk of sounding like Fred Flintstone, faster isn’t always better—especially if it reduces our quality of life and productivity.

These days, everyone is consumed with “busyness.” You see it everywhere. Our attention spans are shorter, our responsiveness has markedly deteriorated, our cell phones have become appendages (where almost nonstop beeps and vibrations are creating a false sense of urgency), we’re having a harder time focusing, and relational depth is increasingly being replaced by superficial breadth. Our children are bombarded with information and opportunities like never before and it’s showing up in anxiety levels.

It is crucial that we arm them with a strong productivity foundation to handle this brave new world.

Let’s start with time management. Whether they go on to college or the workplace, they will be in charge of how they spend their time. Successful people are extremely disciplined with their time, viewing it as a priceless asset they cannot get back. That’s the attitude we want to cultivate in our teens. They will need to develop prioritized daily “to-do lists” arranged by importance and urgency, and plan their time accordingly. Top priorities come first and before the fun.

Another key productivity driver is their ability to set goals and plan for their achievement. Encourage your children to set goals regarding their career, family, education, personal growth, finances, service, experiences, recreation/leisure, and daily responsibilities. The more specific, realistic, and measurable they are, the better. Consider setting some time aside with your student and making a list together of their measurable goals— immediate, short term, and long term. Then, train them to develop strategies and plans to achieve them. Without a planning mindset, success is, at best, a random proposition.

Finally, our kids need to become great decision makers. In What I Wish I Knew at 18, I describe an effective six-step decision-making process. The steps are: 1) determine your key decision criteria, 2) get the facts, 3) identify all the alternatives, 4) conduct an objective pro/con analysis for each option, 5) engage wise counsel, and 6) listen to your “gut instinct” or intuition. By working the process, their best option will usually reveal itself. It’s a GREAT discipline for selecting among several college alternatives!

Here are some questions to consider as you prepare for launch time and “train for productivity:”:

  • Are they effective goal setters, planners, time managers, and decision-makers?
  • Do they control technology, rather than allow technology to control them?
  • In their daily planning, do they focus first on what matters most?
  • Do they consider their time as a precious asset?

Let’s do our best to cultivate a foundation of productivity in our teens, as it will the foundation of success for the rest of their lives. Also, don’t forget to lead by example. Ask the above questions about your own life, too. There’s room to improve for all of us!

Leadership for a Lifetime: Intentionality

Everyone has a dream—or at least, they should! The question is, will that dream become a reality? Success doesn’t come easily and dreams don’t automatically come true. It takes hard work and proactivity.

What makes the difference between a dreamer and an achiever? One key attribute is a leadership quality we call intentionality. Here’s what it looks like:

  • Being active versus passive
  • Setting goals
  • Staying focused
  • Managing our time wisely
  • Demonstrating self-discipline

People who live intentionally are self-aware. They know what they want to accomplish and are mindful of anything that might interfere. They take responsibility for their mental, emotional, physical, and spiritual well-being.  They consistently take action to ensure their lives are purposeful and on track.

One thing I (Arlyn) have noticed about intentional people is that they “act on” their circumstances rather than allowing their circumstances to act upon them.  They don’t just drift through life; they approach it pro-actively. They initiate, rather than simply respond.

For young adults, especially those whose decisions have been mostly made for them by authority figures, becoming intentional is a paradigm shift. They need to think of themselves as the responsible party for their life; i.e., by moving into the driver’s seat from the passenger’s seat. Depending on their upbringing, it’s not always easy.

As educators, parents, and mentors, we can help young adults understand that every day of our life is filled with choices, and WE are responsible for how we approach those decisions: Will you try something new or stick with the status quo? Will you follow through on yesterday’s decisions or get distracted by today’s new ideas? Will you associate with people who inspire and encourage you, or who negatively influence you and drag you down? Every decision either puts us one step closer to our dreams, or moves us a step away.

Intentional people are goal oriented and chart a course straight for it. They aren’t swayed by naysayers or distractions.  They find a passion bigger than themselves and take the practical actions necessary on a daily basis to accomplish it. They don’t just have a vision, they pursue their vision relentlessly!

Encourage the young adults in your life to live with vision and intentionality.  Ask them, “What’s your vision? How are you charting a course to accomplish it? Are you intentionally making decisions that will keep you focused and on track?”

And while you’re at it, ask yourself the same questions!  We can all improve our commitment to living with intentionality. The best way to start is to write down your vision, and then set near- and longer-term goals to fulfill it. Manage your time according to your priorities. Stay focused and don’t let distractions sidetrack you.

We live in a tech-y world dominated by constant connectivity and stimulation. Can we discipline ourselves to use technology for our good, and not let it dominate our life, thoughts, and time? Intentional people control technology rather than the other way around.

Finally, intentional people learn from observing other intentional people. So, look around you. Who out there is living the kind of life you want to live, or shares your purpose and vision? Ask them to share their wisdom and experiences and any practical principles that can help you achieve your goals. Why reinvent the wheel?  Besides, the journey is always easier—and more fun—when (intentionally) shared with others!

What’s on Your To-Do List?

Sometimes I wonder how we all survived before sticky notes. They sure come in handy for jotting down my daily reminders and holding myself accountable!

 

The discipline of writing out a daily prioritized task list (organized by importance and urgency) is a hallmark of a productive person. I begin each day with a to-do list, and it certainly has made me more focused and effective. (And, yes, when unexpected items arise, I add them to the list and cross them out after completion. There’s power in a sense of accomplishment!)

 

Here’s an idea. What if we took this concept beyond its daily application and take a “sticky pad” approach to planning our lives? After all, the most successful people begin with dreams and then establish goals and plans to make them come true.

 

How can the sticky note approach work for you?

 

Poor or random planning puts your dreams in jeopardy and, at best, makes it take that much longer to realize them. But, even if you’re not naturally a goal-setter, it’s not difficult to become one.  Start by imagining what you want your life to look like. What are the large-scale goals you hope to achieve? Think of areas like your education, career, service opportunities, family, finances, health, experiences, passion areas, and interests.

 

Once you’ve established your long-term goals, you can set some shorter-range goals that will help you achieve them. You can set one-year, six-month, and one-month goals, all of which will ultimately contribute to the larger picture.

 

At the same time, don’t forget those daily to-do lists!  You’ll be amazed how much more you accomplish. It doesn’t have to be a fancy leather-bound day-timer to keep you on track.  Many times all you need is a vibrant-colored sticky note placed somewhere visible to remind you what you hope to accomplish that day! Oh, and once all your items are checked off the list, be sure to take some time to celebrate for a job well done. You deserve it.

Decision-Making under Stress: Sleep on It!

It used to be that when I was upset, I either made a rash decision or said something I would later regret. I don’t know about you, but that never worked for me!
 
I may have learned it the hard way (a few times over), but I did learn. The fact is, we don’t think as clearly when we’re in a highly emotional state. There’s too much distraction and we don’t think objectively. Today, if I’m upset and need to make a decision, I make a tentative one, but wait until the following morning to confirm it. Generally, it proves to be a better decision because my thinking is clearer and more objective the next day.
 
Why do we tend to make poor choices when we’re under stress? It’s because of our physiology—that’s right, it’s how we’re wired. But we can learn to compensate.
 
Being in a stressful situation messes with your brain—and can impair your decision-making capabilities. Why? A new study shows that in a crisis (or even what feels like a crisis), the brain tends to focus on reward, and ignore the possible negative consequences of a decision. That’s why “feel good” decisions like eating what we shouldn’t, blowing off steam by losing our temper, giving in to peer pressure, or making a rash purchase we can’t afford are more likely to happen when we are stressed-out.
 
Even worse, not only does stress make us focus on the ‘feel good” aspect of a risky decision or behavior, it impairs our ability to think about the negative consequences. (Frankly, I’d say that’s a pretty good recipe for potential stupidity, don’t you?)
 
When you’re in this situation, hold off until the following morning if you can. Think about the things that make for good decisions and force yourself to follow them. Learn to recognize and release your stress. You’ll be glad you did!

Plan, Don’t Procrastinate

Are you sabotaging your own success? If you’re a chronic procrastinator, chances are … you  might be.
 
Procrastination is the act of putting off what seems like a mundane, intimidating, or unpleasant task to some (usually vague) future date, replacing it with a task or activity that feels more comfortable, exciting, or pleasant. This is not a genetic trait; psychologists tell us that procrastinators are made, not born.  This is good news for procrastinators! Though it takes work and retraining, you CAN increase your follow through and productivity and multiply your chances of success.
 
 
As you may have already discovered, life becomes increasingly challenging for the procrastinator, especially when things get hectic. When we’re kids, most of the deadlines we face are school-assignment driven. However, that quickly changes when we’re in college and worsens precipitously with careers and family. Keeping it all together without missing deadlines becomes almost impossible when you juggle a million balls and chronically wait until the last minute to get things done.
 
What does procrastination sound like in your head? It says things like, “I’ll feel more like doing this tomorrow,” or, “I work best under pressure.” But, in fact, you don’t feel like doing it the next day and you don’t really produce your work best under pressure.
 
What does procrastination look like? It looks like distraction—which is particularly easy to come by these days. Most procrastinators actively look for distractions, especially those that don’t require a lot of commitment. Checking e-mail is a great example. It appears productive, but is often little more than a time-waster in the face of more important things that need to be done. And then there’s Facebook …
 
If you tend to procrastinate important tasks, here are five steps to help break this habit:
 

  1. Start by setting your deadline the day before your task is due. Then, simply work backwards by estimating how much time you’ll need and the number of days over which you’ll have to spread the work. Once that’s done, you’ll have your plan in place with a beginning and end and a series of in-between days with their required time allotments.
  2. Promise yourself some “feel-good” rewards at the end of your task. Often we procrastinate because the benefits of completing a task don’t seem beneficial enough when compared to the amount of work and time required. Increasing the “win” factor for yourself—even if only psychologically—can be motivating.
  3. Ask your friends to check in on your progress and hold you accountable—and to NOT accept your excuses. Peer pressure is another great motivator.
  4. Improve your ability to make decisions. Much procrastination occurs when decision-making skills are weak or underdeveloped.
  5. Regularly make and keep a “to-do” list so you can’t (conveniently) forget those unpleasant or intimidating tasks. And, be sure to block your time sufficiently to get the job done.

 
Once you practice these suggestions a few times, it becomes a piece of cake and you will be more effective. I have no doubt your success factor will shoot up exponentially: you’ll be a better student, a more valued employee, a more organized parent, and you’ll dramatically lower your stress level as well.

Time Is Precious – Use It Wisely

Where did 2012 go?  It seems like last New Year’s Eve was just last week, not last year! Life is flying by at 58!
 
Time is a funny thing, isn’t it? When we’re having a blast, it’s like someone is pushing the “fast forward” button. In contrast, if we have a two-point lead with three minutes left in the game, it seems like an eternity.
 
Whether time flies or moves at glacial speed, we have 24 hours in a day and no choice in the matter. We use it or lose it. And, because time is one of our most prized possessions (recall it’s one of our three primary assets—along with talent and treasure), we need to use it wisely.
 
How do you become a good manager of time? Try the following:
 

  • Treat your time as a precious asset with limited capacity
  • Organize a to-do list by urgency (deadline) and priority (importance). Take both into account when deciding what to focus on each day.
  •  “Block” your time (i.e., group it in 30-60 minute intervals without interruption) in order to complete your highest priority assignments. Avoid interspersing lower priority tasks within your high priority assignment intervals. Take control of your time!
  • Don’t hesitate to politely tell someone that it’s an inconvenient time for you. Interruptions can destroy your productivity if you allow it.
  • Learn to multi-task (i.e. simultaneously performing) your lower priority responsibilities. For example, I rarely watch television without doing something else like reading the newspaper.
  • Keep your cell phone somewhere else when you need focused time. The temptation to answer calls and texts is a major distraction.
  • Find your best venue for focused work.
  • Take periodic breaks. Studies show we’re less productive when we work over an hour straight without a five-minute break. Breaks help our mind recharge.
  • Respect and honor the time of others by being punctual.
  • Always remember that you can’t recover the time you waste!
