4 Aspects of Miscommunication and How to Avoid It

ID-100342634I wish I had a nickel for every time I’ve said, “I didn’t mean it like that!” Or, a nickel for every time someone said it to me. I’d be a very wealthy man! The sad fact is, the messages we send can often be received differently than we intend. And, when it happens, it can be a disaster.  With college and careers starting for many this time of year, it’s important they’re aware of how they’re coming across and the impact of how we say things They’ll be making scores of first impressions and beginning new relationships of all sorts.

Despite our best efforts, miscommunication happens to the best of us. Sometimes we’re the deliverer and other times we’re the receiver. Fortunately, there are some simple things you can do to minimize it, especially as you embark on a new stage in your life and meet new people.

Four things affect how others receive our messages…and any one of them can be the cause of major misunderstandings if we’re not careful:

  1. Word choice – This factor is huge, especially when we discuss sensitive topics and issues we are passionate or emotional about. In these situations, our emotions can interfere with our thinking, and we often use more provocative language that we later regret. In the “heat of moment,” we can be so focused on proving our point or describing how we really feel that we forget to show tact, empathy, and understanding to our audience. Inevitably it leads to hurt, mistrust, frustration, verbal attacks, or shutting down. We’ve all experienced this.
  2. Delivery – Sometimes it’s our manner of delivery that gets in the way, even if our word choice is fine. Delivery is especially important when meeting people for the first time. Examples include speaking with a harsh (or bored, unenthusiastic, or condescending) tone of voice or displaying certain expressions and body language that are not received well by others (crossing arms, standing over someone, frowning, smirking). No matter what words we use, if the “packaging” is incongruent, our message will lack credibility and rub people the wrong way.
  1. Form – Ever wanted to type a nasty email when you’re irritated, or send a harsh text when you’re upset? Trust me, that never ends well. The advantage of verbal communication is that the audience hears you speak, allowing your tone to help convey your ideas. In contrast, written communications (e-mails, social media messages, text messages, etc.) have a major disadvantage because the audience imposes their own interpretation of your tone when they read it. Their perception may be light years away from what you intended. If so, you have a big problem on your hands that might be very hard to undo!
  1. Filter – Depending on whether your audience likes or distrusts you, whether they’re in a good or bad mood, or either focused or distracted by other thoughts, your message may not get through in the way you intended. Unfortunately, this happens all the time (especially with written communications), and you can’t control it.

In short, here are a few quick tips to make sure you avoid miscommunication with others:

  • Be sure your expression (body language, tone, and facial expressions) are in sync
  • Think before you speak, especially if you’re in an emotional state or commenting on potentially charged topics. Avoid provocative words and sleep on any written communications before sending when addressing sensitive topics.
  • Strive to be empathetic by putting yourself in the audience’s position with a goal of mutual understanding. You may agree to disagree, but that’s okay.
  • Closely monitor the receiver’s body language to see whether he or she may be interpreting your words differently than you intend. Their eyes won’t lie!
  • Be a discerning listener when they respond
  • Be quick to apologize for any misunderstandings

Smile–It Means More than You Think

Have you ever thought about what your smile—and your countenance in general, really—say about you? When I first meet someone, I look at their eyes (are they kind?) and their mouth (are they joyful?). I am sure that judging a first impression based of eyes and smile might sound crazy to some, but actually, these cues are often spot on. They are great indicators of a person’s level of engagement with those around them. If the eyes and mouth don’t make a great first impression, it’s likely the rest of the person won’t either.

What impression do you give other people when they meet you for the first time? Your countenance matters, probably much more than you realize! After all, the person you just met could become a new friend, future spouse, future in-law, potential employment reference, employer, manager, industry contact, mentor, or client. The fact is, life is a series of chance moments with others, and you never know what might become of the people you meet and the role they could play in your life.

There’s a wise saying: “You never get a second chance to make a good impression.” In fact, most employment recruiters will say that the first 30 seconds of an interview will make or break your chances! Yes, that’s 30 seconds! For some, it only takes five!

In order to master the art of relationship building, it’s essential to make a great first impression with everyone you meet. Here’s all it takes:

  • Demonstrate through your countenance, words, andbody language that you’re happy to meet them (key: smile!)
  • Give a firm, confident handshake and look them in the eye
  • Be positive and enthusiastic
  • Be inquisitive. Show an interest in them and in what they say. Focus more on listening to them than talking about yourself.
  • Remain engaged in the conversation and avoid distractions like calls and texts
  • Use good manners and be gracious

Surprisingly, many people just don’t get it. They allow negative thoughts, cynicism, suspicion, self-focus, insecurity, and indifference to cloud their countenance. They may not realize it, but it shows—and in job interviews and in life, it doesn’t end well.. They may say all the right things, do all the right things, yet wonder why others aren’t warming up. Many times, it all comes down to countenance. Your smile can make all the difference!

Parents: Your Voice is More Powerful than You Know

In our conversations with parents of teens, their greatest struggle is a sense of loss of influence. But, while teens are listening to other voices during this season (their friends, acquaintances on Facebook, Snapchat or Instagram, celebrities, parents of friends they see as “cool,” etc.), they are not necessarily cutting ties or rejecting their ideals. In fact, many times what may be perceived as a rejection is more a re-negotiation of their former parent-child relationship. Perhaps their teen isn’t saying is “I’m rejecting you.” Rather, he or she may be saying, “Hey, I’m almost grown up. It’s time to cut a new deal,” or “Give me some credit; I get it!” or “Come on, let me try and figure this out on my own!” Whether we’re talking about curfews or communication, relationships or jobs around the house, what we want to avoid is burning our bridges.

If this rings true for you, it’s a golden opportunity. If you recognize and react to this new reality with trust and they handle it well, you can build an even greater platform for parental influence and relationship in your teen’s life. This matured relationship can be a source of great benefit and pleasure to you both in the future.

Be encouraged. Statistics support the idea that, despite appearances to the contrary, parents are still the number one influencers in a young person’s life. The majority of teenagers report that they have values and general beliefs similar to their parents and consider their parents as being highly significant in their lives.

Here’s something we can guarantee: your children will make some not-so-great choices throughout their adolescent years, but they will also make some wonderful ones. They will stumble and make great strides. Sometimes, they’ll want you to pick them up, dust them off and set them straight again. Other times, they’ll prefer you keep your distance and let them handle it on their own.

If you’re worried about the voices influencing your teen’s life, or if you’re struggling to  get through to them on your own, try these exercises:

  1. Make a list of the five most influential people in your teen’s life. Are you happy with the list? Whom would you like to add? Is there anyone about whom you have concerns? Discuss these with your spouse or parenting partner. Come up with some strategies for ensuring there are strong, positive third party voices in your teen’s life.
  2. Ask your teen to identify the top five people he or she admires most and why. What are the common denominators? The people they admire can be an indicator of your child’s priorities and values. Do they align with your family’s?

If you have the benefit of a variety of positive, encouraging, and healthy voices in your child’s life (coaches, mentors, relatives, teachers), you’ll be able to approach the launch with a greater sense of peace. He or she will be all the more prepared for the real world, where we all have to sort the good voices from the bad. Hopefully, they’ll surround themselves with the good.

That’s all part of the journey on the road to adulthood. Just remember, no matter how tough the going gets, you are your child’s main influencer and they DO value what you think.

4 Tips to Help you Land That Job!

One of the greatest unknowns for college students is predicting what the job market will be like when they graduate. After all, it’s four years down the road and lots can change in the meantime. The answer will be based on the state of the economy and the supply and demand picture for their career choice. Unfortunately, these factors are simply outside of our control.

Even if a young person’s path doesn’t include college, they’ll still be facing this kind of uncertainty. If the unemployment rate is low, chances are they’ll have little difficulty landing a good job. If it’s high, who knows how long it could take? Plus, they’ll have to work that much harder just to get their foot in the door.

So, how can all of us help? What are ways parents, educators, mentors and friends can help young people find the jobs they’re looking for—and progress once they find them?

Young adults need to be savvier and more competitive than ever to find, land, and advance in the jobs of today’s work place. Here are some suggestions  you can share to help position them for a thriving career:

  1. Use your existing networks. No matter how talented we are, we all need people who will go to bat for us, both personally and professionally. Their invaluable assistance can take the form of introductions and connections, references and advocacy, decision-making in our favor, an information source, or general help. They help us gain access to strategically important people. It’s like having our very own sales force!

The employment recruitment process has changed night and day since I was younger. Nowadays, it’s all about online applications that seem to disappear into the proverbial black hole—it’s SO impersonal and frustrating. Somehow, some way, our application needs to stand out. No doubt about it, the best way is to have an insider advocating on our behalf. It adds a measure of dependability and reassurance to the hiring manager, and that’s huge. It may not land us the job, but it helps get us into the game.

  1. Broaden your base of employment prospects.Spread your net wide.  Talk to others in your field. Read trade journals and industry bulletins, blogs, and newsletters. What’s going on in your industry of choice and where are the jobs? There are likely companies for which you could work that you haven’t even considered. My editor’s son is a land use planner who works for a county government. He recently discovered that a large aircraft manufacturer in our state regularly hires land use planners. He was surprised; he’d never even considered the thought of working for a company like that. Now that he knows, it’s an avenue he plans to pursue in his next steps.
  2.  Be flexible with respect to location. This point is short but important. Many times you’ll have to go to the job; it won’t come to you. The more flexible you can be about this, the more marketable you are.
  3. Develop your competitive edge. Our world is much more competitive than ever before. Our economy has become service-oriented and knowledge-based, which has changed everything. Now, you have to demonstrate something special (i.e, skills, experiences, and achievements) in order to land the job and advance in your career. Together, these make up your competitive edge. Consider what would stand out about you to future employers during your eventual job search. Go the extra mile to become better qualified through experiences and continuing education. If you’re lacking a skill or a professional qualification, attack it with full force! Demonstrate an attitude of continuous improvement and a commitment to excellence. Show results and impact. Create great personal stories that will inspire employers.  If you don’t, remember that someone else will—and they’ll wind up with your job or promotion!

Live With an Outward Focus

Parents, teachers, and mentors alike, this is a great message to share with the young people in your life. I encourage you to start a conversation with them and talk about how they can focus on others.

Follow your passion. March to the beat of your own drum. Pursue your dreams. Find yourself.

Sound familiar?  It should. The message is everywhere these days.  And it sounds great, doesn’t it, to encourage young people to discover themselves and follow their dreams? We do it all the time (me included).

But isn’t it also paradoxical that, at the very time young people are heading off into the world to become part of a college community, part of a business or organization, part of a marriage someday … they are hearing it’s all about them? No wonder colleges and employers are complaining about the entitlement mentality in today’s incoming students and employees!

Are our teens getting the wrong message from our “it’s all about me” culture?

Maybe it’s time we pay attention to combining that message with a healthy dose of other-centeredness.

In reality, the most successful individuals are those who have realized that a successful life is not all about them.  In fact, most people who have achieved a full measure of success (i.e., in their personal life as well as their professional life) will tell you the best things are found not in what they have gained for themselves, but in what they have given to others.

Wouldn’t it be great if we could all learn this sooner rather than later?

The first half of one’s adult life can be aptly called the “accumulation stage” and the second half is the “distribution stage.” During the accumulation stage, you are in “gathering mode,” filling your  bushel basket with life’s needs and wants. In some ways, it might feel like it’s all about YOU. You build a career, buy and furnish a house, start a family, save for retirement, and buy lots of things along the way.

Then, one day, usually around 50 when the kids have left the nest and you have all the toys you need, you become more motivated to give back. You discover that the joy of giving is greater than the joy of receiving, and your perspective changes dramatically. You realize it never was about YOU. I’m a typical case—it happened to me around 49! My life is so much more focused now on others than it was when I was a young person, and I doubt I’m an exception.

When I left my dream 28-year career in investment management to teach finance and life skills to young people, I had no idea it would lead to a total career change to that of author, publisher, mentor, and speaker. But, oh, the fulfillment of being able to direct my life toward others on a regular basis.

Had I known this earlier, I would have sought more balance in my accumulation stage and started my distribution stage sooner. The joy and satisfaction that comes from giving our time, talent, and treasure so outweighs the fun of accumulating that I regret not starting this process earlier.

Where are you directing your life right now—toward self or toward others?  Give it some thought. By shifting your focus toward others, you’ll receive far more in return than you give. Your life will have more balance, your spirit will soar, you’ll make new friends, and you’ll maximize the impact of your life. Oh, and you’ll also make the world a better place in the meantime! What’s not to love about that?

Are You an Inspiring Team Player?

One of my most admired leaders, George Russell, always used to say, “It’s amazing what you can accomplish if you don’t care who gets the credit.” I have to admit I didn’t fully appreciate the wisdom of his words early in my career. But, in time I realized he was right. When you adopt George’s philosophy, you become a true team player and everyone benefits.

 Teamwork is more and more the name of the game in the workplace these days. In the past, many people learned to perform a single skill and then continued it for many years. These days, however, creativity and innovation are more often what is needed in the workplace—requiring greater collaboration, flexibility, and interpersonal skills from workers.

 Do you have what it takes to be a great team player in today’s economy? Do the young adults in your life?

 

My favorite spectator sport is basketball. To me, it’s the consummate team sport where character is revealed before our very eyes.

Some players clearly focus on individual scoring (often to the detriment of the team when they go overboard), and enjoy being in the limelight. Still others are known for their passing and defense and rarely receive the same fan attention. Yet, isn’t it interesting that, it’s the team with the best defense and passing that usually wins the championship? I believe there’s a message to be learned in this.

           

When I coached basketball, I gave special praise for assists, tenacious defense, and our unsung heroes. One young lady on our team, Jazi, as the perfect example. She may have scored only two points a game, but we were never the same without her! She was our best passer and shut down the finest guards with her incredible defense. Our victories against our toughest opponents often came from her defense rather than from our leading scorer. She was the consummate team player and unsung hero. I wouldn’t have traded her for the world.

In the NBA, the player that most comes to my mind is John Stockton, a retired point guard from the Utah Jazz. He’s the league’s all-time assist leader, which is a true sign of an unselfish team player. During his career, he handed out an incredible 15,806 assists to his teammates— truly an extraordinary accomplishment. It is rare in sports to see records that stand out like this, and it’s a testimony to John’s skill, unselfishness, and endurance.

Throughout your life, you’ll be in countless team situations, especially on the job. When these opportunities arise, focus on the team rather than on your individual contributions. Encourage them, praise them, mentor them, enjoy them, and show your gratitude toward them. Bring everyone up and your team will achieve great things. Your leadership will be liked, respected, and admired by others.

Building Positive Relationship Capital with Teens

When my wife and I first became parents, we naïvely assumed our kids would be just like us. I always imagined that we’d have a little “mini me” (or at least a “mini we!”) running around the house. That theory went out the window as our firstborn began “revealing himself.” We had given birth to a highly energetic, creative kid with an extremely high people orientation. Coming from two very analytical, task-oriented MBA types, he was definitely unique among our gene pools! So much for “me plus she equals he!”

While it may have taken some time (which, for him may have seemed like an eternity!), we learned to understand and value his uniqueness.

Your kids may be just like you. Or, they may be completely the opposite. Both scenarios present challenges, and it’s easy to misunderstand one another and hit bumps in your relationship. That’s why it’s so important, especially in the teen years when so much is at stake, to build lots of relationship capital with our children.

Imagine a large bucket. Now, picture a stream flowing into it containing essential relationship ingredients like love, trust, respect, understanding, encouragement, fun, humor, shared experiences, and real conversations. The stronger the flow of this stream, the stronger the relationship will be with your teen. When your relationship bucket is full, you’ll gain entrance into your children’s lives, enjoy better two-way communication, understand each other better, and negotiate conflict more peacefully.

Right now you may be feeling like your relationship bucket with your teen is running on empty. If so, please don’t despair! The reality is that the “water level” in any relationship rises and falls over time.

In your relationships, which ingredients are flowing strongly and which could use some enrichment? Are there any “leaks” to repair that are causing you or your teen to shut down? If so, here are some ways to refill your relationship bucket:

-Offer to treat them to their favorite coffee shop or frozen yogurt spot. No agenda! Keep it light and let them lead the conversations. Think “share with” rather than “talk to.”

-Offer to do something with them you know they’ll enjoy, even if it’s not your favorite.

-Jot them a note mentioning something you admire or appreciate about them.

-Show interest in their world (music, entertainment, activities) and stay positive.

-Ask for their advice or opinion on something.

-Have real conversation at the dinner table. No TV, no phones.

-Avoid conversation topics that cause sparks. Stay low risk until the capital levels have been rebuilt.

By applying this relationship bucket concept, you’ll have a steadier inflow and plug those harmful leaks. In time, you will regain entrance into their world more and more. You’ll also be better positioned for an enduring relationship in the adult years.

A Simple Idea to Change Our Culture

Words have incredible power. They can be uplifting or destructive. Think back to a time you heard something nasty someone said about you—you probably felt angry, hurt, or rejected. Now, think about a time when you received authentic praise. It probably raised your spirits and boosted your confidence. It might have revealed something about yourself that you never fully appreciated!

Now consider your own words and what you’ve said about others. Sometimes our words stay solely with the receiver. Other times, they go in a million directions outside of our control, especially when we use social media, e-mail, or text messages. These days it doesn’t take much for a spark to ignite a fire.

What we say about others speaks volumes about our character—especially when we communicate about someone who is not present. They reflect our integrity, loyalty, kindness, and respect, not to mention our self control and self esteem!

One way to demonstrate excellent character is to only say things about others we wouldn’t mind them overhearing. That’s right—everything is constructive! Try this “Integrity Challenge” for a week and be amazed by how it affects your choice of words, and ultimately, your character and spirit! It makes us more tactful and respectful, and less judgmental. It’s not always easy, but it’s worth it!

Then, do it the next week and the next and the next. And, soon it will become a habit. This simple idea might be the best anti-bullying strategy of all!

While we’re at it, let’s start a movement in our schools—let’s take the Integrity Challenge. What is said or written about others is neutral or positive, with students holding each other accountable. Any criticism is constructive and only shared face to face. And, when we slip up, we apologize and ask for forgiveness.

What if we challenged ourselves and those around us—our families, friends, co-workers, teachers, students, etc.—to live by this principle? What if it became a way of life in how we think, relate, and communicate about others? Can you even imagine the possibilities? It would literally change the world—in a wonderful way! Are you up for it?

What are your habits when it comes to talking about others? Teachers and parents: This is a good piece of advice to share with the young people in your life, especially those who are active on social media.

Building Lasting Friendships

Do you have a trusted confidante with whom you can share your innermost feelings; one who has your best interests at heart? What about someone who will encourage you to be your absolute best and hold you accountable in your career, relationships, and even your spiritual life? Is there someone you can turn to when life throws you a curveball? A person of your gender with whom you can connect on a regular basis?

If your answers are “No,” then this could be a valuable New Year’s resolution for you!  Here’s why: Friendship—the enduring, here-til-the-end-for-you, holding-you-accountable kind—is good for you! These friendships make you a better person and are an essential ingredient to a strong support system.

It doesn’t just make intuitive sense, it’s also supported by clinical studies.  People with long-time friends live longer. They experience less stress. They are more likely to survive cancer. They even contract fewer colds! I am not kidding here, folks!

Just last year, Virginia Tech researchers took a group of students from the University of Virginia to the base of a steep hill, fitted them with a weighted backpack, and asked them to estimate the steepness of the hill. Some participants stood next to friends during the exercise, while others stood alone.

Interestingly, the students who stood with friends gave lower estimates of the hill’s steepness—and the longer the friends had known each other, the less steep the hill appeared to them.

This principle holds true across the board. Trusted friends make our life journey smoother (especially when the going gets rough) and our experiences all the richer. They enable us to live life fuller and provide companionship and support along the way.

Granted, it takes time and effort to build a trusted friendship of that caliber. It’s easy today to be lulled by the superficial “friendship” that Facebook, Instagram, Twitter, and online forums offer. But, remember that true friendship takes time: getting to know each other, identifying and building on shared values, accumulating a library of shared memories, weathering conflict and crisis, and more. It’s all worth the investment, and the best part is, it’s never too late to start.

Not sure where to begin? Here a few tips to help get you there.

  1. Take a personal inventory of your interests and the qualities and values most important to you. Chances are, your forever friendships will reside where your interests and values intersect. Together with trust, they’re the building blocks of companionship.
  2. Don’t be afraid to let your guard down. People relate to others who are real and transparent. Instead of trying to appear a certain way to your friends, be your authentic self, warts and all!
  3. Ask questions that will reveal their inner selves. While it’s easy to gauge compatibility of interests, it takes time, in-depth conversation, and experiences to gauge compatibility of values.
  4. Say yes. Even if you don’t feel like getting off the couch and changing out of your sweatpants, it’s important to say “yes” to new opportunities with new friends.. You never know what might come from each new experience!  Saying yes also means returning phone calls with phone calls (and not text messages). Remember, cultivating friendships takes energy and personal engagement!

Constructive Criticism Can Help You Grow

How committed are you to correcting your weaknesses and building your strengths? Do you embrace constructive feedback when it comes your way?

Let’s face it.  Most of us love to receive compliments—but criticism?  Not so much. Criticism, even if it’s constructive, can sometimes make us feel guilty, ashamed, or inadequate. We often become angry or withdrawn when we receive it. We can be defensive. Or, out of hurt, we turn the tables on the people criticizing us, attacking their credibility and motives.

The common sense reality is that if we’re genuinely interested in improving ourselves, we should be just as interested in hearing about our weaknesses as we are our strengths—even if the method of delivery is indelicate. We are, after all, a work in progress!

It’s a great idea to make it a practice to actively solicit constructive feedback from your superiors, friends, and role models. This means asking them questions such as:

  • Am I meeting your performance expectations?
  • How can I improve—as a person and as a colleague?
  • What do you see are my strengths and weaknesses?

It also means being able to receive the feedback with a grateful heart whether you asked for it or not. It’s natural to react defensively when someone gives critical feedback.  But if you do, you’ll miss a golden opportunity to learn and grow.  Here is some advice to receive criticism well and use it to your advantage:
 

  1. Don’t take it personally. If someone criticizes you for something you’ve done, it doesn’t mean they don’t like YOU.
  2. Learn to separate yourself from the criticism and take it at face value. Think of it as a gift from someone who cares about you!
  3. Resist the temptation to interrupt or argue. Thank the person giving you feedback, and assure him or her you’ll take it to heart and consider it.
  4. Thank the person for the feedback. If it seems appropriate, enlist his or her help for making changes related to the advice given.
  5. Ask for specific examples of any behaviors needing improvement.

This is especially important for young people to embrace—a challenge when they’re exerting their independence and think they know it all. I adopted this practice early on in life and consider it one of the most valuable life lessons in my career. It made me progress that much faster by seeking the wisdom and feedback of others. It’s a hallmark of excellence!
 
Make it a point to ask for one piece of constructive feedback from someone in your life and practice responding in the ways we’ve just discussed.  Are you a parent or teacher? Share this lesson with the young people in your life. If they apply it, they’ll likely thank you for it some day!
